Board of Directors


Executive

AAGHA is a non-profit corporation registered with the province of Ontario. As a corporation it has an executive comprising of the President, Vice President, Secretary and Treasurer. Collectively the executive has fiduciary responsibilities for the proper operation of the corporation. Each of these members is also a member of the Board of Directors. The President, Vice-President and Secretary must be Board members or executive who have served at least one year prior to his or her appointment to the position. The Treasurer is nominated by the Board and the nomination must be accepted by the Board.  Directors must be eighteen years of age or older and are at the time of their election and throughout the term of their office members of the Corporation.

 

President

  1. Ensures that the AAGHA abides by the terms of the constitution, by-laws and policies and/or procedures
  2. Sets up committees where deemed necessary (coach selection, discipline, bursary, etc)
  3. Works with the Treasurer to create the annual budget
  4. Proposes the agenda for Board meetings and chairs the meetings
  5. Oversees activities of all Directors and any employees or subcontractors
  6. Signs contracts and/or documents that require such signature on behalf of the AAGHA
  7. Represents the AAGHA to outside parties including other hockey associations and the City of Hamilton
  8. Participates in OWHA meetings and optionally, GHGHL and LLFHL meetings, where required
  9. Prepare reports to the Board and to the AAGHA members
  10. Safe-keeping of AAGHA properties and records

 

Vice President

  1. Responsible for the oversight of AAGHA initiatives
  2. Assists the President in day-to-day operations and in ensuring that the AAGHA abides by the terms of the constitution
  3. Performs the duties of the President in the absence of the President
  4. Participates on committees
  5. Signs contracts and/or documents that require such signature on behalf of the AAGHA

 

Secretary

  1. Responsible for keeping minutes of all Board meetings and delivering them to Board members
  2. Ensuring that the minutes are properly archived
  3. Responsible for the minute books of the Corporation
  4. Signs contracts and/or documents that require such signature on behalf of the AAGHA

 

Treasurer

The Treasurer is nominated by the Board and the nomination must be accepted by the Board.  The Treasurer:

  1. Works with the President and the Board to prepare a budget each year
  2. Works with the Bookkeeper and Auditor that has been selected and retained by the Board
  3. Ensures that invoices conform to the terms of the contract
  4. Writes cheques as required
  5. Makes and tracks deposits to the bank account
  6. Submits a monthly status report to the board
  7. Ensures that financial requests conform to the terms of the budget
  8. Signs contracts and/or documents that require such signature on behalf of the AAGHA

 

 Registrar

  1. Manages the registration process for Rep and House League tryouts, association registration, and any other registrations that require credit card payments
  2. Assists members in the registration process as required
  3. Keeps track of certifications and police checks for purposes of reporting to the OWHA in compliance with Privacy legislation
  4. Maintains the team lists on the OWHA website
  5. Runs reports on the OWHA website as required by members of the board
  6. Ensures all OWHA requirements for registration, forms and fees are submitted on time
  7. Generates Permission to Skate (PTS) forms when requested

 

High-Performance Development (HPD) Director

This is a technical position responsible for ensuring that girls in the AAGHA, playing at AA and A levels (Peewee, Bantam, Midget and Intermediate levels) have the best coaches and training available our Rep team divisions. The HPD Program is designed to promote the vision and ideals of the AAGHA particularly as they apply to players who aspire to play at the highest competitive levels.

  1. Coordinating development between teams and coaches at the Peewee, Bantam, Midget and Intermediate levels;
  2. Developing shared resources to both improve our Rep team and player development and reduce the cost for all teams;
  3. Facilitating player growth through multi-year individual development plans, in-season development sessions and multi-team summer camps; and
  4. Providing coach mentoring, training and volunteer opportunities for everyone in our system.
  5. Liaising with Player and Coach Development Director and Rep Convenor on level of skills development for both Players and Coaches at the HPD level
  6. Participates in annual Coaches information meeting prior to the start of the season
  7. Coordinates skills development for both our HPD Coaches and HPD Players with preferred HPD training providers
  8. Works with HPD Coaches, Ice Scheduler and Communications to ensure that HPD Coach and HPD Player training is promoted and available at appropriate times
  9. Works with Communications and preferred HPD training providers to maintain a library of content for private access by our coaches
  10. Together with Player and Coach Director, arranges and participates in the annual coach selection process including coach interviews, maintain interview questions and ensure the integrity of the interview process
  11. Works with Communications to collect survey information regarding HPD coaching performance
  12. Provides ongoing liaison between HPD coaches and the AAGHA Board of Directors
  13. Assists the Rep Convenor with recommendations to the Board the number of HPD Rep teams and categories they should play in on an annual basis
  14. Maintains familiarity with Hockey Canada programs at each division and coaching certifications

 

Rep Convenor

  1. Manages communications with the Lower Lakes Female Hockey League (LLFHL) and participates in LLFHL meetings
  2. Provides liaison between the Rep Coaches and the AAGHA Board of Directors
  3. Maintains content and templates for coach meetings, tryouts, team handouts, team budgets, LLFHL scheduling
  4. Maintains familiarity with and enforces the rules of the LLFHL and OWHA and acts as a resource to our Rep Coaches
  5. Arranges and coordinates tryouts and ensures that Board members are available to oversee every tryout
  6. Accepts responsibility for any tryouts in divisions where the Coach has not yet been selected
  7. Advocates to the Board for all issues and concerns brought forward in our Rep system
  8. Participates in the Rep Coach selection process
  9. Recommends to the Board the number of Rep teams and categories they should play in on an annual basis
  10. Coordinates activities related to tryouts, playoffs and Provincial playdowns

 

Senior House League Convenor

  1. Recommends to the Board the number of teams in the House League division on an annual basis
  2. Manages the process of house league team selection and ensures balance between teams
  3. Provides liaison between the House League Coaches and the AAGHA Board of Directors
  4. Participates in GHGHL meetings and associated activities
  5. Assists Development Stream (DS) Convenor with DS coach selection process
  6. Maintains content and templates for coach meetings, tryouts, team handouts and GHGHL scheduling
  7. Coordinates house league schedule with the Ice Scheduler
  8. Maintains familiarity with the rules of the GHGHL and OWHA and acts as a resource to our house league coaches
  9. Arranges and coordinates tryouts and ensures that evaluators are available for each tryout
  10. Advocates to the Board for all issues and concerns brought forward with the House League program
  11. Advocates for House League teams during ice scheduling and budgeting
  12. Promotes the DS program within our Association with the assistance of Communications
  13. Advocates on behalf of House League and recommends any changes or challenges that would benefit or be of concern to House League.
  14. Liaises with the Rep Convenor when structuring teams or individual players and with Player and Coach Development Director when choosing and placing coaching/team staff for upcoming season

 

Development Stream (DS) Convenor

  1. Recommends to the Board the number of DS teams that will be formed on an annual basis
  2. Manages the process of DS team selection and ensures balance between teams
  3. Provides liaison between the DS Coaches and the AAGHA Board of Directors
  4. Assists House League Convenor with GHGHL meetings and associated activities related to DS teams
  5. Participates in the DS coach selection process
  6. Maintains content and templates for coach meetings, tryouts, team handouts and GHGHL scheduling
  7. Coordinates DS schedule with the Ice Scheduler
  8. Maintains familiarity with the rules of the GHGHL and OWHA and acts as a resource to our DS coaches
  9. Arranges and coordinates DS tryouts and ensures that evaluators are available for each tryout
  10. Advocates to the Board for all issues and concerns brought forward with the DS program
  11. Advocates for our DS teams during ice scheduling and budgeting
  12. Promotes the DS program within our Association with the assistance of Communications
  13. Advocates on behalf of DS program and recommends any changes or challenges that would benefit or be of concern to DS program.
  14. Liaises with the Rep Convenor when structuring teams or individual players and with Player and Coach Development Director when choosing and placing coaching/team staff for upcoming season

 

Junior House League Convenor 

  1. Recommends to the Board the number of Novice or Pre-Novice teams that will be formed on an annual basis
  2. Manages the process of Novice/Pre-Novice team selection and ensures balance between teams
  3. Provides liaison between the Novice/Pre-Novice coaches and the AAGHA Board of Directors
  4. Assists House League Convenor with GHGHL meetings and associated activities related to Novice/Pre-Novice division
  5. Participates in the Novice/Pre-Novice coach selection process
  6. Maintains content and templates for coach meetings, tryouts, team handouts and GHGHL scheduling
  7. Coordinates Novice/Pre-Novice schedule with the Ice Scheduler
  8. Maintains familiarity with the rules of the GHGHL and OWHA and acts as a resource to our Novice/Pre-Novice coaches
  9. Arranges and coordinates Novice/Pre-Novice tryouts and ensures that evaluators are available for each tryout
  10. Advocates to the Board for all issues and concerns brought forward with the Novice/Pre-Novice program
  11. Advocates for our Novice/Pre-Novice teams during ice scheduling and budgeting
  12. Promotes the Novice/Pre-Novice program within our Association with the assistance of Communications
  13. Advocates on behalf of Novice/Pre-Novice program and recommends any changes or challenges that would benefit or be of concern to Novice/Pre-Novice program.
  14. Liaises with the House League and Rep Convenor when structuring teams or individual players and with Player and Coach Development Director when choosing and placing coaching/team staff for upcoming season

 

Ice Scheduler

The ice scheduler is a paid technical position.

  1. Purchases and manages ice for practices, games, tryouts, and additional ice as requested by teams
  2. Allocates ice as budgeted for all Rep, House-league and DS teams
  3. Books referees and timekeepers for all games
  4. Attends ice scheduling meetings for LLFHL and GHGHL
  5. Manages ice schedules on the AAGHA website with support of the Communications Director
  6. Manages relationships with coaches, managers, ice providers (i.e. City of Hamilton), Ref organizer, Arena staff
  7. Attends meetings with the City of Hamilton and provide information to the City for the Ice Users Agreement

 

Communications Director

The communications director is responsible for coordinating communication activities and ensuring consistency, timeliness and accuracy of information for the following:

  1. Website content
  2. Announcements and association achievements
  3. Email lists
  4. Special events content
  5. Advertising and marketing
  6. Content archiving and management

 

Director of Sponsorship and Fundraising

  1. Solicitation for both Association and House League sponsors
  2. Contacting previous and current sponsors, in a timely fashion, to request financial commitments each season
  3. Maintaining a list of sponsor contact information which shall be provided to the Board regularly
  4. Working with Communications to promote sponsor on our website and other communications
  5. Ensuring that the terms of our sponsorship agreements are met
  6. Invoicing sponsors and tracking payments
  7. Soliciting sponsor participation for upcoming events
  8. Providing regular feedback to sponsors
  9. Working with Equipment Manager to ensure sponsor are identified on uniforms and arenas, where required

 

Equipment Manager

  1. Organizes and manages house league and rep team photos with photo supplier.
  2. Maintains and keeps track of all our equipment and pinnies and ensures that they are returned at the end of the season
  3. Solicits contracts for and selects the team and spirit wear provider
  4. Works with the team and spirit wear provider to ensure that team fittings are arranged and that jerseys are delivered
  5. Proposes jersey colour schemes and designs as required
  6. Maintains the equipment room in Morgan in an orderly fashion
  7. Provides recommendations to the Board on repair or replacement of AAGHA equipment or jerseys
  8. Coordinates with the City, hanging of tournament banners and arranging logos for ice surfaces

 

Community Outreach Director

The Community Outreach Director for example:

  1. Manages events and the coordination of our volunteers for special events and community activities:
    1. Spirit Day
    2. Special hockey games hosted by AAGHA
    3. AAGHA Participation at local OHL hockey games
    4. Heritage Days parade (June)
    5. AAGHA Volunteer Night event in January
    6. Participation with other OWHA sanctioned events
    7. Participation in community based organizations (e.g., Ancaster Community Services) and events such as Food Drives and Easter Egg hunt
  2. Maintain our membership with Volunteer Hamilton
  3. Organize AAGHA participation with the City of Hamilton Sports Volunteer Awards in September and solicit AAGHA membership for nominees
  4. Coordinate with Parent Liaison Reps on their roles and responsibilities
  5. Support the Tournament Committee Volunteer Director to help organize volunteer positions
  6. Work with Communications Director on newsletter content and timing

 

Tournament Convenor

Is selected by a vote from the Tournament Committee as per the Tournament Constitution and has the following role on the Board:

  1. Chairs the Tournament Committee responsible for organizing and conducting any tournament hosted by the AAGHA in accordance with the Tournament Constitution
  2. Chairs the Tournament Committee and recommends to the Board the format of any tournaments hosted by the AAGHA
  3. Ensures all tournament correspondence, applications and fees required by the OWHA are completed

 

Head Trainer 

  1. Coordinates with AAGHA team trainers and facilitates
  2. Training - Pre Season meeting and any ongoing training sessions throughout season
  3. Collects and retains Rowan's Law documentation as required
  4. Must have valid/current Trainer Certification and medical profession or background desired
  5. Member of the AAGHA COVID-19 Safety Committee and respond as required
  6. Responsible for retention of COVID -19 contact tracing and screening forms as required
